Unexpected Needs

Whenever we provide on-site services, we work to be prepared to address a range of unexpected or immediate new needs on-site, serving as the central crisis manager and problem-solver. This often involves logistical situations, such as adapting the room setup or making program adjustments due to unexpected circumstances.

Unexpected situations sometimes involve guest emergencies, like managing a sudden medical incident, or more often special requests, such as accommodating a last-minute dietary restriction, or calming a distressed speaker or attendee whose travel was delayed.

It is important to have a pre-planned contingency budget and key contact list (including how to contact the appropriate venue person for maintenance, security, and medical needs) to facilitate swift, discreet, and effective resolution, ensuring the event stays on track and attendees remain safe and comfortable.
