For a retreat-style event, where the focus is on a high-touch, personal experience rather than sheer speed, we prioritize warmth, personalization, and efficiency. The welcome area will be located where attendees will naturally arrive, or will be well-signed.
Since many retreats are located in out-of-the-way locations, attendees may be a little frazzled on arrival. We believe it is important to have a friendly, calm, and caring welcome. Everyone is greeted warmly by name and checked in on the registration list. We check that their emergency contact is accurate, and confirm dietary or accommodation needs. While the Welcome Packet has many relevant pieces of information, it is most important to help the Attendee get oriented, including pointing out the nearest restroom, providing information about where they are lodging, and when and where the first official gathering will be happening. Once settled, they can explore the Welcome Packet information.
Even if the venue is a hotel style venue, where attendees check in at the registration desk, it is wise to have a welcome area and greeter in the lobby to welcome and orient them after they’ve checked in with the front desk. We also make an arrangement for late arrivals, which includes how to contact us, any necessary gate or door codes, someone to greet them late and orient them, and ensuring a plate of food is set aside if they are missing the first scheduled meal.
